Job Summary:

Under minimal supervision, provides administrative support to a business unit. Assists with projects such as community relations, department rollouts, and program implementation. Receives and directs visitors and inquiries. Schedules and maintains calendars, coordinates meeting and travel arrangements.


  • Creates and compiles letters, memos, reports, forms and miscellaneous documents.

  • Utilizes a database program to input data and run standard reports e.g., expense reports, time reporting for company and contract employees, materials management systems, etc.

  • Generates and disseminates information as needed by client and business unit. Handles complaints and requests for information/assistance regarding business unit operations.

  • Coordinates meetings, travel, logistics, and materials for Business Unit. Assists with projects by gathering information and assembling materials for meetings, off-sites, and workshops. Orders office/field supplies and equipment. Establishes and maintains filing system. Prepares payroll and expense reimbursements.

  • Serves as administrative contact for contract administrator by monitoring invoices or processing payments, and resolving discrepancies with contractor payments or time reporting.

  • Prepares standard spreadsheets, invoices, and mail lists.

  • May act as initial contact for visitors and clients


  • High School diploma or equivalent.

  • Two-three years secretarial/administrative experience supporting a business unit or client group.

  • Experience with the Fatigue Management System (FMS) and complex work schedules preferred

  • Knowledge of Maximo and SAP preferred

  • Must be a qualified typist according to company standards.

  • High degree of interpersonal skills

  • General knowledge of word processing and spreadsheet software applications.

  • Working knowledge of office equipment operations photocopiers, fax machines, telephone systems, calculators.

  • Demonstrated communication and organization skills with ability to follow work direction.

  • Must have the discretion to be able to handle confidential information
